HDe School: From Admission to Report Card in One System

Follow one student through HDe School — admission, fees, attendance, exams and report card

Admission

Register the student once, with family, sibling and contact details. The record follows the student through the school.

Admission season is the most paperwork-heavy time of the school year: forms, documents, family details, previous school records, sibling discounts, transport needs. In a paper or spreadsheet setup, the same student’s details get written down four or five times — at admission, in the class register, in the fee ledger, in the exam records — and every copy drifts.

HDe School ($499.00, now $249.00) registers the student once. The admission form captures personal details, family and guardian contacts, sibling links (so discounts apply automatically), medical notes and document checklists. That single record then follows the student through every class, every year: promoted to the next class in bulk at year-end, transferred between sections without re-entry, and archived with full history when they leave.

Practical details that matter during admissions:

  • Enquiry to admission pipeline. Track enquiries, follow up, convert to admissions — no lost leads between the front desk and the register.
  • Document checklist. Birth certificate, previous report card, photos — mark what is received and what is pending, per student.
  • Sibling and staff discounts. Linked family records mean discounts apply consistently instead of depending on who is at the fee counter.
  • Admission numbers that make sense. Configurable formats per session, so records stay organised year after year.

Fees

Set the fee plan, apply discounts, collect payments manually or online, and send statements and balance reports.

Fee management is where schools feel the most pain: different fee heads per class, monthly vs quarterly vs annual plans, late fines, sibling discounts, staff concessions, partial payments, and defaulters to chase — every month. Spreadsheets collapse under this within a term.

HDe School structures it properly:

  • Fee heads and plans. Tuition, transport, lab, exam, admission fee — defined per class and session, combined into plans. Change a head once and it flows everywhere.
  • Discounts and concessions. Sibling, staff, merit, need-based — applied as rules, not favours, so two families in the same situation pay the same.
  • Collection. Counter collection with printed receipts, plus online payment tracking. Every receipt is numbered and traceable; cancelled receipts stay in the books instead of vanishing.
  • Defaulter management. One report shows who owes what, for how long. Send SMS or printed reminders straight from the list instead of compiling it by hand.
  • Statements and balance reports. Parent-wise statements, class-wise collection summaries, head-wise breakup — the numbers the principal asks for, ready in seconds.

The result the office feels immediately: fee day stops being a queue of confused parents and a drawer of loose receipts. It becomes a counter with a screen, a receipt printer and a closing report that reconciles.

Attendance and exams

Daily attendance, class timetable, exam schedules, marks entry, grading and marks reports — all connected to the same student record.

Because the student record is shared, attendance and exams connect to everything else automatically:

  • Daily attendance. Mark by class in seconds; absentees feed SMS alerts to parents if you enable them. Monthly attendance percentages calculate themselves — no more counting P/A/L by hand at report-card time.
  • Timetable. Class-wise and teacher-wise timetables, so clashes are visible before the term starts instead of discovered in week three.
  • Exam setup. Define exams (first term, mid, final), subjects per class, total marks and grading schemes once. The structure repeats every session.
  • Marks entry. Teachers enter marks against their class and subject; the system totals, grades and ranks. Corrections keep a trail — no silent overwrites.
  • Marks reports. Subject-wise analysis, class position lists, pass/fail summaries, and broadsheets the exam office used to spend days compiling.

A detail schools love: attendance percentage flows straight into the report card and into eligibility checks (exam entry requires minimum attendance in many schools) without anyone retyping it.

Report card

The report card is the sum of the year: attendance, marks and fees, ready to print. Request a demo and see it with your own school’s workflow.

The report card pulls everything together — marks by subject and term, grades, position, attendance percentage, and even fee status — onto the school’s own format. Design the layout once (logo, grading key, principal’s remarks section, signature lines) and every student’s card generates from live data. No mail-merge, no copy-paste errors, no “we printed 300 cards and the formula was wrong.”

Result day becomes a print run, not a project.

Roles: everyone sees their part

A school system is used by very different people, and HDe School gives each a fitting view:

  • Super Admin / Principal. The whole school: admissions, fees, attendance, exams, staff, reports.
  • Accountant. Fees, expenses, receipts, defaulter lists, financial reports.
  • Teacher. Their classes: attendance, marks entry, timetable.
  • Receptionist. Enquiries, admissions, front-desk lookups.
  • Librarian. Book issue and return tracking.
  • Parent. Their child’s attendance, marks, fee status and announcements.
  • Support staff. Relevant operational views, nothing more.

Permissions keep sensitive data — salaries, fee concessions, other families’ records — visible only to those who need it.

Getting started: what implementation looks like

Schools worry, reasonably, about the switch happening mid-session. The practical path:

  1. Demo with your workflow. Request a demo and walk through your actual admission form, fee heads and report card format — not a generic tour.
  2. Data entry in phases. Start with current students and staff; historical records can follow or stay archived. Most schools are live within two to four weeks.
  3. Train the office first. The fee counter and admission desk touch the system daily — train them hands-on, then teachers for attendance and marks.
  4. Run one exam cycle. The first exam on the system proves the whole chain: schedule, marks entry, broadsheet, report card.
